3. Purpose of processing

We process personal data only insofar as this is necessary to fulfil contractual or legal obligations or where we have a legitimate interest in doing so. Processing is generally based on Art. 6 GDPR – in particular for initiating, carrying out and processing business relationships in the B2B sector. In this context, we process the following personal data:

  • Name of the contact person
  • Business telephone number
  • Business email address

Processing serves in particular the following purposes:

  • Preparing quotations, contract performance and invoicing in connection with supply contracts for printers and toner
  • Communication with business customers (e.g. regarding service requests or product information)
  • Provision of maintenance and support services
  • Sending promotional emails to existing customers pursuant to Section 7 (3) UWG (see separate section)
  • Compliance with statutory retention obligations
  • Statutory retention obligations

5. Recipients

To fulfil our contractual obligations, we process your data exclusively on company-owned servers.

We also use service providers, such as:

  • Tax advisors / accounting service providers / payment service providers
  • Logistics companies for shipping devices

Where required, we have concluded data processing agreements with all service providers in compliance with Art. 28 GDPR.

6. Storage period

Personal data is stored for as long as necessary to perform the contract. In addition, certain data is subject to retention periods under commercial and tax law (generally 6 or 10 years).

7. Rights of the data subject

Data subjects have the right to access (Art. 15 GDPR), rectification (Art. 16), erasure (Art. 17), restriction of processing (Art. 18), data portability (Art. 20) and objection (Art. 21). They also have the right to lodge a complaint with the competent data protection supervisory authority.

8. Sending promotional emails to contractual/existing customers pursuant to Section 7 (3) UWG

If you purchase goods or services from us and provide us with your email address in this context, we reserve the right to send you information by email about similar products or services from our range. The legal basis is Art. 6 para. 1 lit. f GDPR in conjunction with Section 7 (3) UWG. You may object to this use at any time without incurring any costs other than the transmission costs according to the basic rates. You will find an unsubscribe link in each of our emails.
